How far in advance should a custom trade show booth be ordered?

Nine to twelve months before the show for a new custom build. Design is approved and fabrication begins around six to nine months out, and after roughly six months the realistic options are a rental or reusing an existing structure with new graphics.

Can an existing trade show booth be reused with new graphics?

Usually yes. A structure in good condition with dated or off-brand graphics is a reprint rather than a rebuild, which costs a fraction of a new build.

What is included beyond the booth itself?

Freight in and out, installation and dismantle labour at the show, carpet and furniture rental, and storage of the exhibit between shows. These costs are a larger share of the total than most exhibitors expect and should be quoted up front.

Is renting a trade show exhibit better than buying one?

Renting makes sense when the show is being trialled, when booth size changes from year to year, or when storage between shows is the real constraint. Buying makes sense for a stable annual programme at a consistent booth size.

The International Elastomer Conference returns to Cleveland, 27–30 September 2027. We are a graphics and exhibit company in Stow — about forty minutes from the convention centre. This page is for people who are exhibiting.

You are reading this about twelve months out, which is not an accident. Twelve months is when the booth decision actually gets made. Everything after this point is a deadline.

What happens between now and the show

This is the timeline most exhibit programmes run to. It is worth knowing which part you are in.

12–9 months out now – Dec 2026	Decide whether you are rebuilding, refreshing or reusing. Concept and design. This is the only window where you have real choices.
9–6 months out Jan – Mar 2027	Design approved, fabrication begins, graphic artwork finalised. Changes after this get expensive.
6–3 months out Apr – Jun 2027	Build complete. Pre-set and photographed before it ships, so nobody finds a problem on the show floor. Freight booked.
3–2 months out Jul – Aug 2027	Exhibitor manual deadlines. Electric, carpet, furniture, rigging and labour ordered while the discount rates still apply.
Show month Sept 2027	Advance warehouse target date, then install, show, dismantle and return to storage.

Two ways we work

If you have an island booth

Twenty by twenty and up, where the structure is the point. We design it, our fabrication partner builds it, we print the graphics, and our own crew installs it. We also handle the parts nobody enjoys: freight in and out, installation and dismantle labour at the show, carpet and furniture rental, and storing the crates between shows if you have nowhere to put them.

One company, one invoice, one phone number when something goes wrong at seven in the morning on move-in day.

If you have a 10x10 or 10x20

You do not need a custom build and we will not try to sell you one. You need a printed backdrop, a couple of retractable banner stands, a table throw and maybe a counter — all of it packed, shipped and arriving before your target date. We carry all of it, and we print it in Stow.

Why local matters for this particular show

Most exhibit houses serving this conference will be shipping into Cleveland from somewhere else. We are already here. That means we can meet you at your office before you commit to anything, be at the convention centre in under an hour if something needs fixing during move-in, and take the crates back to our building afterwards rather than putting them on a truck.

Common questions

Can you work with a booth we already own?
Yes, and often that is the right answer. A structure in good condition with tired graphics is a reprint, not a rebuild. We will tell you which one you have.

Do we have to buy, or can we rent?
Either. Rental makes sense if the show is a trial, if the booth size changes year to year, or if storage is the real problem.

What does an island booth cost?
A custom 20x20 generally runs from the low tens of thousands; a 30x30 is higher. Freight, drayage, labour and rentals are on top, and they are a larger share of the total than most people expect. We quote all of it up front rather than in pieces.

How late is too late?
For a new custom build, roughly six months. After that it is rental, or reusing what you have with new graphics.
